Job Description
Inventory and Stock Control
- Manage the Control all Stock arrivals and dispatches at all Port and transit Warehouses.
- Coordinate loading and dispatches from all points.
- Ensure accurate and timely recording of all stock movements in the Companies Software system.
- Monitor and maintain stock accuracy, including:
- Receipt confirmations (GRAs)
- Retirement of stock on the system
- Investigate and resolve stock discrepancies and variances.
- Follow up with relevant entities on stock identified as offloaded but not yet in stock.
Transshipment Warehouses
- Oversee the Loading order for cargo departing from Transit Warehouses.
- Ensure all stock in Zambia Warehouses is moved on a FIFO basis.
- Coordinate all Stock arrivals and dispatches at all Zambia Transit Warehouses.
- Identify inefficiencies in warehouse operations and implement improvements.
- Confirm that all cargo is correctly documented and matched against dispatch instructions prior to departure.
Tracking and monitoring of all Vehicles
- Monitor and track all vehicles transporting cargo between Loading Point, transit warehouses till point of delivery as Port Warehouse.
- Follow up proactively on delayed vehicles and investigate deviations from standard transit times.
- Close off tracking on the Software system, once confirmed receipted into Port warehouse.
- Ensure all vehicle tracking data is accurately captured and updated in the system.
- Close off tracking activities once stock is confirmed received at destination warehouses according to process.
Data Analysis and Reporting
- On time reporting of all Stock Levels, including Stock in Receiving and dispatch Holding areas.
- Analyse all data on the company’s Inhouse Software system for accuracy.
- Ensure warehouses record all stock received against the correct Buyer.
- Support the optimization and continuous improvement of the in-house system.
Effective Communication and Collaboration
- Build and maintain relationships with all Stakeholders.
- Provide guidance to all Service providers on any failings and ensure they understand the importance of timeous data accuracy.
- Assist and support colleagues, fostering a collaborative and cooperative team culture.
- Liaise with transporters, clearing agents, and internal teams to ensure smooth cargo flow.
- Ensure compliance with company policies and data management standards.
- Collaborate with warehouse teams to resolve stock and data issues.
- Ensure all actions done are inserted under the “Diary of Events” ensuring clear understanding for all stakeholders in event of queries being raise.
Requirements
- Minimum Qualification National Senior Certificate (matric) relevant qualification advantageous
- 2-3 years experience in similar role
- Excellent computer skills including proficiency in Microsoft Excel (Advanced)
- Experience in Commodity Stock Control is an advantage.
- Experience coordinating with transporters, clearing agents, and port operations would be advantageous.
