Job Description

Operational Facilities Administration

  • Assist with general Facilities administrative support across Hard and Soft Services
  • Support coordination of operational requests and documentation flow
  • Maintain structured filing and document control systems
  • Assist with updating monthly operational reports (usage, activities, status updates)
  • Support back-office with tracking of Helpdesk tickets
  • Provide backup reception support when required

 Hard Services Focus

  • Support facilities coordinator with tracking and keeping filing systems compliant
  • Assist with follow-up on outstanding service requests with relevant stakeholders
  • Update request status and maintain accurate tracking records
  • Liaise with internal teams and service providers for updates
  • Escalate delays or unresolved matters where required
  • Ensure that building-related documentation (COCs, Safety Files, etc.) remains valid and compliant

Information Accuracy & Records Support

  • Capture and update Facilities-related data and records
  • Maintain project, site activity, and operational documentation
  • Verify and correct inconsistencies in records
  • Ensure structured and complete information across systems

Soft Services Coordination Support

  • Support coordination of Soft Services activities such as consumables purchases (Makro, Pick 'n Pay, etc.)
  • Assist with scheduling and logistical arrangements of supplies for Head Office and site offices
  • Support filing and documentation for Soft Services

Fleet Administration Support

  • Assist the Office Manager with maintaining vehicle asset records
  • Liaise with Facilities Office Manager for record accuracy and payments
  • Maintain and regularly update all site logbooks

Stock Visibility & Support (Housekeeping Consumables)

  • Work in coordination with Housekeeping Team Leader on stock visibility
  • Assist with tracking consumables and floor stock usage
  • Support recording of stock usage and movement
  • Assist in identifying low stock levels
  • Maintain stock-related documentation and records
  • Responsible for receiving all deliveries

General Facilities & Site Support

  • Provide general administrative support to Facilities teams
  • Assist Office Manager and Coordinators as required
  • Support ad hoc administrative and operational tasks
  • Perform reasonable duties aligned to Facilities operations

Requirements

  • Matric / Grade 12 (essential)
  • Relevant administrative qualification will be an advantage (e.g. Office Administration, Business Administration, or similar)
  • Experience within a Facilities or technical administrative environment will be an advantage
