Job Description

  • Meeting Room Management
  • Manage and maintain the meeting room booking system and calendar for accuracy and availability.
  • Coordinate bookings for internal teams, executives, and external stakeholders Set up meeting rooms according to requirements: seating arrangement, AV equipment, stationery, water, and catering.
  • Conduct room inspections before and after meetings to ensure cleanliness and readiness.
  • Technical & Administrative Support
  • Test and assist with audio-visual equipment including projectors, screens, video conferencing tools, and sound systems.
  • Troubleshoot basic technical issues or escalate to IT where necessary.
  • Maintain an inventory of meeting room supplies and place restocking requests timeously.
  • Client & Stakeholder Interaction Greet and assist meeting attendees in a professional and welcoming manner.
  • Respond promptly to ad-hoc requests during meetings while maintaining discretion and confidentiality.
  • Liaise with catering and facilities teams for additional requirements.
  • Compliance & Safety
  • Ensure meeting rooms comply with Capitec’s health, safety, and security protocols.
  • Report maintenance issues, damages, or safety hazards immediately to Facilities.
  • Adhere to data confidentiality and access control policies when handling sensitive meetings.

Requirements

  • Matric / Grade 12 certificate required.
  • 1–2 years’ experience in office administration, reception, or facilities coordination preferred.
  • Basic knowledge of AV equipment and Microsoft Office, especially Outlook Calendar.
  • Strong organizational and multitasking skills with attention to detail.
  • Professional, courteous, and customer-focused attitude.
