Job Description

Shipment Picking

  • Allocate daily cage assignments based on load priorities.
  • Assign planned orders and transfer orders (TOs) according to priority levels.
  • Assign daily duties to staff.
  • Ensure stock age requirements meet customer standards.
  • Facilitate efficient and timely picking for all outbound loads.
  • Conduct daily cage inspections and resolve stock-related queries.
  • Monitor staff closely to ensure priority-based and accurate picking.
  • Minimize shortages and maintain high service levels through regular replenishment.
  • Investigate system-related picking issues.
  • Address stock discrepancies involving staff.
  • Coordinate with Receiving and Inventory departments on out-of-stock items, promotions, and products on hold.
  • Enforce the First Expired, First Out (FEFO) rule.
  • Ensure customer requirements are followed for all picked loads.
  • Monitor and address staff performance daily, managing underperformance as needed.

Administration Controls:

  • Ensure warehouse areas and offices under supervision are kept clean and organized; liaise with contract cleaners daily.
  • Conduct and document daily warehouse inspections, maintaining high housekeeping standards.
  • Report and investigate all incidents within areas of responsibility.
  • Maintain adequate stationery levels for Outbound operations.
  • Compile daily performance statistics for picking, checking, and dispatch activities.
  • Monitor staff performance, prepare, and submit performance reports to the Warehouse Manager.
  • Maintain clear and consistent communication with management and departments regarding load statuses.

Staff Control:

  • Monitor employee performance and address any concerns promptly.
  • Track hours worked, authorize overtime, and review weekly timesheets.
  • Monitor attendance, timekeeping, and absenteeism.
  • Maintain and manage the department’s leave roster, authorize leave requests, and submit leave forms promptly for processing.
  • Conduct daily uniform inspections and necessary weekly facilities inspections to ensure compliance with SHE and food safety standards.
  • Ensure weekly toolbox talks are conducted with all staff under supervision, or as required by management.
  • Handle necessary IR with employees under your supervision.

Equipment Management:

  • Ensure drivers complete daily check sheets for each machine and scanner, review, and sign off on them.
  • Arrange necessary machine repairs by logging service calls with the MHE provider.
  • Ensure all equipment, including scanners and printers, is serviced at regular intervals and necessary checks are completed.
  • Maintain all forklifts, high-reach trucks, and powered pallet jacks under supervision to ensure cleanliness and proper working condition.
  • Review machine running hours to ensure balanced utilization across all equipment.
  • Monitor MHE exceptions through the FMX system and address any issues related to driver behaviour, trends, or concerns.

Loading Supervision:

  • Coordinate loading slots with transporters in advance and ensure strict adherence to loading schedules and slot times; communicate any deviations to relevant parties.
  • Track truck turnaround times (TAT) and ensure compliance with special loading instructions.
  • Verify that all required documentation for loads is completed and printed.
  • Report any discrepancies and ensure dispatch SOPs and managerial instructions are followed.
  • Monitor Despatch Loaders’ performance to ensure truck turnaround times (TAT) targets are met.

Outbound Checking Supervision:

  • Prioritize load checks according to scheduled loading times.
  • Ensure checkers adhere to SOPs accurately and efficiently.
  • Compile and escalate reports on variances encountered to management.
  • Ensure all shipments are despatched based on customer requirements and without variances.
  • Monitor Despatch Checkers' performance and the quality of shipment preparation.

Requirements

  • Grade 12 / Matric completed
  • Diploma in Supply Chain/Logistics/Warehousing
  • Minimum of 3 years warehousing experience within FMCG
  • Must have experience with supervising/managing teams
  • Proficient in Microsoft Office and ERP systems, specifically SAP
  • Knowledge of Warehouse Management Systems
  • Strong written and verbal communication
