Meeting Room Coordinator

Job Description
- Meeting Room Management
- Manage and maintain the meeting room booking system and calendar for accuracy and availability.
- Coordinate bookings for internal teams, executives, and external stakeholders Set up meeting rooms according to requirements: seating arrangement, AV equipment, stationery, water, and catering.
- Conduct room inspections before and after meetings to ensure cleanliness and readiness.
- Technical & Administrative Support
- Test and assist with audio-visual equipment including projectors, screens, video conferencing tools, and sound systems.
- Troubleshoot basic technical issues or escalate to IT where necessary.
- Maintain an inventory of meeting room supplies and place restocking requests timeously.
- Client & Stakeholder Interaction Greet and assist meeting attendees in a professional and welcoming manner.
- Respond promptly to ad-hoc requests during meetings while maintaining discretion and confidentiality.
- Liaise with catering and facilities teams for additional requirements.
- Compliance & Safety
- Ensure meeting rooms comply with Capitec’s health, safety, and security protocols.
- Report maintenance issues, damages, or safety hazards immediately to Facilities.
- Adhere to data confidentiality and access control policies when handling sensitive meetings.
Requirements
- Matric / Grade 12 certificate required.
- 1–2 years’ experience in office administration, reception, or facilities coordination preferred.
- Basic knowledge of AV equipment and Microsoft Office, especially Outlook Calendar.
- Strong organizational and multitasking skills with attention to detail.
- Professional, courteous, and customer-focused attitude.
